Resolving the "Send Mail as:" Error

If you own another email address, Gmail allows you to send mail from your Gmail address as that address. When coupled with the option to import, fetch or forwarding emails from the other address, it empowers you to receive emails addressed to the other account and to respond to those emails from the address they were sent to - all from your Gmail account. The setting up process is easy, but there can be instances when the user may encounter the odd error messages. This blog looks to discuss scenarios where the users are most likely to receive the error messages and how they can proceed to resolve them.
  • Scenario A: The Generic Case.
The trick is to follow the suggestions included in this help article Send mail from a different address or alias. In it, you must make ensure the following:
  • Enter the correct SMTP (outgoing) server name. If need be, contact your domain administrator and verify.
  • Enter the complete username in the username@yourdomain.com format.
  • Enter the password for the username@yourdomain.com username.
  • Ensure you have the correct encryption - TLS, SSL or unsecured and port 587, 465 or 25 selected.
Once done, you should receive the verification mail from Google in the other account and use the code included therein to complete the setup process.
  • Scenario B: Adding a Google Workspace (Formerly GSuite and Google Apps) account to your personal Gmail account.
There can be multiple reasons why this could not work for you. The first such reason would be an incorrect SMTP server name for the domain. The Google set-up defaults to smtp.yourdomain.com which is incorrect for all Google Apps domains. The correct SMTP server name should be smtp.gmail.com

The other possible causes may include not enabling less secure apps in your Google Apps accounts. You can enable it from the "Less secure apps" section in My Account. Next to "Access for less secure apps," select Turn on. This setting is hidden if your administrator has locked less secure app account access and he would need to first give you access from the Google Apps Admin console [Security > Basic Settings > Go to settings for less secure apps > Allow users to manage their access to less secure apps.]
  • Scenario C: Adding a personal Gmail account to your G suite (Formerly Google Apps) account.
If you are trying to send through your personal Gmail account from your Google apps account, can you please make sure the Allow per-user outbound gateways option is selected? You can find this setting in your Google Apps Admin console.

Please go to Apps > Google Apps > Google Apps > Gmail > Advanced Settings > "End User Access" section.

Additionally, make sure you have allowed for less secure apps in your personal Gmail account.

Revisiting Canned Responses (Templates) in Gmail
